We are a fast-growing medical and physical therapy clinic specializing in car accident injury care. We work closely with law firms and patients to ensure seamless treatment, documentation, and case progress. This is a high-impact position for someone who is organized, proactive, and thrives in a fast-paced environment. Position Overview This is not a typical front desk job. You will serve as the hub between patients, providers, and law firms — tracking care, organizing records, managing schedules, and keeping cases moving smoothly from start to finish. If you are extremely organized, detail-oriented, and great at communication, this role is for you.
Responsibilities
Answer and manage incoming calls (English & Spanish) Schedule and confirm patient appointments Communicate professionally with law firms regarding patient cases Track patient care and case progress in our internal tracker Request, receive, scan, and upload medical records into EMR Maintain accurate documentation and case notes Assist providers and staff with administrative needs Ensure the front office runs smoothly on in-person days Requirements (Must-Have) Fluent in English and Spanish (spoken and written) Highly organized and detail-oriented Excellent phone and communication skills Comfortable speaking with attorneys and medical providers Able to multitask without losing track of details Tech-savvy and comfortable learning EMR systems Reliable, professional, and self-motivated (especially on WFH days) Preferred Experience Medical office, legal office, or case management experience Experience handling medical records or insurance/legal communication This Role Is Perfect For Someone Who Loves keeping things organized Enjoys being the “go-to” person Can work independently without constant supervision Takes pride in accuracy and follow-through
