Client Intake Coordinator - Beauty Industry | Zoom and Phone Intro Calls (Warm Leads) - Contract to Hire
About the role Innacos Labs is a clean beauty contract manufacturer based in Indiana. We work with indie beauty founders and entrepreneurs at every stage — from first product to scale. As our Client Intake Coordinator, you're the very first voice and face of our company. Every founder who reaches out talks to you first. This is not a sales closing role. You don't pitch, you don't quote, and you don't negotiate. Your job is to make people feel genuinely heard, ask great questions, understand what they're actually trying to build, and get them booked with the right person on our team. You'll run 20-minute Zoom discovery calls, complete a structured post-call intake form, and keep our CRM and tracking sheets updated daily. If you love talking to people, ask good follow-up questions naturally, and take real satisfaction in being the person who sets everything else up for success — this role was built for you. What you'll do Run 20-minute recorded Zoom discovery calls with prospective clients (up to 8/day) Follow a structured but conversational call script to understand each client's story, goals, budget, and timeline Complete a detailed post-call intake form after every call — your notes are what the rest of the team builds on Book clients for a follow-up call before the call ends Send warm, professional follow-up emails within one hour of each call Log all activity in HubSpot same-day Upload Zoom recordings and update tracking sheets daily What we're looking for Naturally warm and professional on camera — this is a Zoom-first role and you will be recorded Genuinely curious; you ask follow-up questions because you actually want to understand, not just to fill a form Organized and reliable — if something won't get done on time, you say so before the deadline, not after Strong written English for follow-up emails Experience in customer-facing roles: sales, customer success, intake coordination, or similar Familiarity with HubSpot or similar CRM (trainable, but a plus) Beauty or wellness industry background is a bonus, not a requirement Schedule + logistics Part-time to full-time hours available Must be available during the window: 11am-7pm EST (8am-4pm PST) Fully remote; equipment needed: reliable internet, camera, microphone All calls are recorded via Zoom This is a great fit if you've worked as: a receptionist, intake coordinator, inside sales rep, customer success associate, leasing consultant, patient coordinator, or any role where your job was to make people feel welcome and gather information well.
