Data Manager (Part-Time)
Data Manager (Part-Time) Terra Firma National - Job Posting
Overview
Terra Firma National (“TFN”) promotes a compassionate and effective approach to meeting the complex medical, mental health, legal, and social needs of unaccompanied children and migrant families seeking humanitarian protections in the U.S. In 2013, the Terra Firma Model was founded at a community health center in the South Bronx to meet the healthcare and legal needs of unaccompanied migrant children in NYC. To meet a growing need, Terra Firma National, a nonprofit organization, was launched in 2021 to develop a National Network of Terra Firma programs across the country. Today, TFN supports seven sites, including the Flagship program in the South Bronx, and plans to expand by at least two sites per year for the next three years. Terra Firma National is seeking an experienced part-time Data Manager to build and maintain the data infrastructure that allows TFN to measure and demonstrate its impact across a growing network of program sites. A central goal of this role is to reduce the data burden on partner site staff, by building workflows that pull data from the systems they already use. This is a part-time position with potential to grow into a full-time role as the network expands and funding allows. Primary Duties & Responsibilities At an early stage in the development of our National Network, TFN is looking for support to improve its data collection systems across a growing National Network of programs. This position will build and manage TFN’s data collection processes and infrastructure, working closely with both TFN’s National Network team and staff at network sites to ensure data is collected consistently, reported reliably, and used effectively to demonstrate impact to funders and partners. The Data Manager will help create and maintain a new database for TFN and its partners, support new and existing sites in adapting their data collection tools, and help translate program data into dashboards and materials TFN can use for program planning and fundraising. The Data Manager will report to the Senior Program Manager, who manages the National Network, and work closely with senior leadership. Key Activities TFN Support Create and maintain an Airtable or other appropriate database (e.g., REDCap) and organize efficient and effective collection of data from TFN network partners. Administer data reports, including the semi-annual Impact Data Report, Participant Survey, and the Fidelity Rubric, to National Network partners; provide training and technical assistance to support National Network sites in collecting and sharing that data. Analyze the above-mentioned reports (Impact Data Report, Participant Survey, and the Fidelity Rubric) and maintain a cross-site data dashboard for the TFN team; complete custom data pulls as needed for monitoring, evaluation, grant reporting and other fundraising purposes. Coordinate feedback surveys from National Network sites to assess TFN’s trainings and technical assistance, including satisfaction surveys from TFN’s annual conference (virtual). Develop and maintain an annual roadmap for data collection to support TFN’s Monitoring and Evaluation Plan. National Network Site Support Work with new and existing National Network sites to develop and customize participant tracking systems (e.g., the Participant Tracker) used for TFN's semi-annual Impact Data Report. Maintain templates and guidance for programs to help them create and implement Participant Trackers that align with site-specific workflows and organizational structures. ◦ Help sites optimize data tracking, including de-identified participant information, utilization, and outcomes. ◦ Support sites in optimizing data systems and data collection (e.g., pulling relevant data from Electronic Health Records or legal case management databases). Provide ongoing training for new and existing sites on TFN’s data collection policies and protocols. ◦ Offer individual support to sites during key transitions, such as initial implementation or periods of staff turnover. ◦ Create clear, up-to-date training materials and guides to support National Network sites’ data collection efforts. ◦ Build relationships with data teams at sites to ensure robust and reliable data reporting, and identify opportunities for expanded data collection over time. First Six Months We expect the first six months to focus on the following priorities: Launch the core database: build TFN’s Airtable (or other appropriate) database structure and bring existing site and network data into one source of truth. Complete the first reporting cycle: administer and analyze the semi-annual Impact Data Report and draft the annual data collection roadmap tied to TFN’s Monitoring and Evaluation Plan. Standardize site tracking: create Participant Tracker templates and guidance aligned with TFN’s reporting, and begin onboarding sites, starting with those in transition or newly launching. Reduce the data burden on sites: review what TFN asks sites to report and identify where data can be pulled from systems sites already use. Set up survey and feedback protocols: establish the Participant Survey, Fidelity Rubric, and training feedback survey processes so they can run on a regular schedule.
