Role Overview

The Entry‑Level Remote Data Entry Specialist is the backbone of our finance and people operations. You’ll be responsible for accurately capturing, updating, and validating a wide range of financial and HR records—timesheets, expense reports, vendor invoices, and employee data. This part‑time, remote position offers a flexible schedule of 5–10 hours per week, with a focus on meeting critical payroll, billing, and reporting deadlines. Your meticulous attention to detail will directly impact the reliability of our financial reporting and the efficiency of our operational workflows.

Key Responsibilities

  • Data Capture & Validation: Enter and update financial records—including employee timesheets, expense reports, vendor invoices, and employee details—using source documents provided by the finance team.
  • Record Maintenance: Keep employee files current by adding new‑hire information, updating personnel changes, and ensuring all required forms are stored correctly in our HR and payroll systems.
  • Quality Assurance: Cross‑check entries against source documents, flag inconsistencies, duplicates, or missing information, and report discrepancies to your manager promptly.
  • Document Management: Organize, name, and file supporting documents in designated company systems to ensure records are complete, searchable, and secure.
  • System Transition Support: Assist with data entry, record setup, and validation as brighthush transitions timekeeping and project accounting into Unanet.
  • Confidentiality & Security: Handle all financial and employee information with the utmost discretion, following brighthush’s data‑handling, access, and security protocols.
  • Deadline Management: Meet processing deadlines tied to payroll, timesheet cutoffs, and month‑end close, and communicate early if a deadline is at risk.

Essential Qualifications

  • No minimum years of professional experience required—this is an entry‑level role.
  • Exposure to data entry, office administration, bookkeeping, payroll, or HR records through work, internships, or coursework.
  • Familiarity with entering financial and human resources data (e.g., timesheets, expenses, invoices, employee records).
  • Strong attention to detail and a demonstrated habit of double‑checking your own work.
  • Working proficiency with spreadsheets (Microsoft Excel or Google Sheets) and comfort learning new web‑based business systems.
  • Ability to handle confidential financial and personal information with discretion.
  • Clear written communication skills and reliability working independently on a remote, part‑time schedule.
  • Reliable high‑speed internet and a private workspace suitable for handling confidential information.
  • US person status required (defense program context).
  • Must be able to pass a background check.

Preferred Qualifications

  • Experience using Unanet (timekeeping, project accounting, or financials).
  • Experience with QuickBooks Online, QuickBooks Time, or a similar accounting or payroll system.
  • Coursework or a certificate in accounting, bookkeeping, business administration, or human resources.
  • Exposure to government contractor timekeeping or record‑keeping practices.

Skills & Competencies

  • Analytical Thinking: Ability to interpret data, identify patterns, and spot errors quickly.
  • Time Management: Prioritize tasks effectively to meet payroll and month‑end deadlines.
  • Communication: Convey findings and questions clearly to managers and cross‑functional teams.
  • Adaptability: Learn new systems and processes rapidly in a fast‑moving environment.
  • Integrity: Maintain confidentiality and uphold ethical standards in handling sensitive information.
