Executive Operations & Special Projects Associate

๐ŸŒ Remote ยท United States ๐Ÿ’ผ Full-time

ABOUT US Cinexus is a dynamic, internationally focused business operating at the intersection of entertainment, sports, technology, infrastructure, investment, and strategic ventures. With a global network of investors, entrepreneurs, industry leaders, and creative partners, we develop businesses, projects, partnerships, and opportunities across the United States and international markets. Our work spans film and television, live events, sports, capital and investment funds, technology, and emerging business ventures. We bring together people, ideas, and capital to create innovative opportunities and build businesses with meaningful commercial and long-term potential. We are entrepreneurial, relationship-driven, ambitious, and constantly exploring new ideas and opportunities. Our environment is fast-moving, creative, collaborative, and anything but conventional. ABOUT THE ROLE We are seeking an exceptional, highly resourceful Executive Operations & Special Projects Associate to work directly with a founder and entrepreneur operating across entertainment, film and television, sports, investment, capital funds, infrastructure, technology, events, and international business ventures. This is not a traditional administrative assistant position. We are looking for a versatile, entrepreneurial all-rounder who thrives on variety, enjoys taking on new challenges, and is excited by the opportunity to learn, develop new skills, and grow alongside a founder building businesses across multiple industries. No two days will necessarily look the same. One day you might be researching an investment opportunity or strategic partnership; the next, coordinating a film project, developing an event proposal, improving a website, or finding a better way to organize business operations. You don't need to be an expert in every industry. What matters is your ability to jump into unfamiliar territory with confidence, ask intelligent questions, research independently, connect the dots, and figure things out. We want someone who can bring structure to complex, fast-moving businesses, take initiative, work independently, and turn ideas, conversations, and scattered information into organized, actionable plans. Ultimately, we're looking for someone who wants to become a trusted right hand to the founder - someone who can see the bigger picture, anticipate needs, identify things that might otherwise be missed, and actively contribute ideas and solutions. KEY RESPONSIBILITIES Executive Operations & Organization Organize information across multiple projects, businesses, platforms, and communications. Translate voice notes, meetings, emails, and unstructured ideas into clear tasks and project plans. Maintain a master project and opportunity portfolio. CRM & Relationship Management Build, organize, and maintain a structured CRM. Research, categorize, and update contacts and organizations. Maintain relationship histories, meeting notes, introductions, and follow-up schedules. Link contacts to relevant business opportunities and projects. Identify potential synergies across the founder's professional network. Project Management & Business Development Coordinate projects across multiple industries and business ventures. Research investors, family offices, strategic partners, brands, venues, and business opportunities. Prepare project summaries, research briefs, timelines, and action plans. Track deliverables and follow up with relevant stakeholders when authorized. Support the development of proposals, presentations, events, and new business initiatives. Identify connections, emerging opportunities, overlooked details, and potential next steps across different projects. Creative Support Write, edit, and refine compelling copy for websites, pitch decks, proposals, presentations, marketing materials, and business communications. Translate rough ideas and concepts into polished, engaging content tailored to different audiences. Update and maintain website content, including text, images, layouts, and basic page edits using website builders or content management systems. Bring a strong creative eye to design, branding, presentation, and messaging. Proactively identify opportunities to improve website content, user experience, marketing materials, and overall presentation. Create and improve workflows using AI and automation tools. Work alongside a technical AI/automation specialist to improve operating systems. Explore and recommend new tools, processes, and technologies that improve efficiency. Executive Support Assist with inbox triage, scheduling, event discovery, and communications. Maintain organized documents, notes, and information. Calendar and travel coordination for the CEO. Expense reconciliation. Provide limited personal administrative support where appropriate. Anticipate needs and proactively recommend solutions. REQUIRED SKILLS Excellent English communication, written and verbal, with exceptional copywriting and editing ability. Strong creative instincts, visual judgment, and attention to presentation. Exceptional organization and attention to detail. Strong independent problem-solving, resourcefulness, and initiative. Advanced practical use of ChatGPT and Claude, including effective prompting. Experience setting up and using Airtable. Proficiency with Canva and Google Workspace. Ability to update and edit websites using website builders or content management systems, or quickly learn new platforms. Familiarity with Asana or similar project management systems. Strong online research and information-verification skills. Ability to quickly understand unfamiliar industries and commercial concepts. Ability to handle highly confidential information with discretion. Comfortable working across multiple businesses and rapidly changing priorities. A genuine appetite for learning, developing new skills, and taking on responsibilities outside a traditional job description. Ability to recognize gaps, anticipate problems, connect information, and suggest improvements without waiting to be asked. HIGHLY DESIRABLE Experience supporting founders, CEOs, investors, producers, or entrepreneurs. Background in business development, venture capital, private investment, entertainment, sports, events, or professional services. Experience with CRM development, AI-assisted workflows, and automation tools. Ability to prepare polished pitch decks, proposals, and business presentations. Experience with website management, digital marketing, branding, or content creation. Experience working across international markets. THE PERSON WE'RE LOOKING FOR A curious, capable, creative problem-solver who loves variety and isn't intimidated by the unfamiliar. You're the kind of person who sees a challenge and thinks, "I haven't done that before, but I'll figure it out." You enjoy learning about new industries, experimenting with technology, developing new skills, and finding smarter ways to do things. You're equally comfortable handling detailed administrative work and stepping back to consider the bigger commercial picture. You should be able to receive a messy voice note, research an unfamiliar topic, organize the information, identify missing pieces, propose a sensible plan, and come back with thoughtful recommendations. You have a creative mind and a natural instinct for making things better, whether that's improving a pitch deck, rewriting website copy, identifying a business opportunity, or finding a more efficient way to manage a project. You don't simply complete the tasks assigned to you. You notice what's missing, recognize potential connections, raise important questions, and bring ideas to the table. You understand that supporting an entrepreneur across multiple businesses requires flexibility, good judgment, adaptability, and a willingness to occasionally step outside your comfort zone. You must be comfortable saying, "Here's what I've done, here's what I recommend, and here's what I need your decision on." Most importantly, you're looking for more than a job. You want an opportunity to learn, grow, take ownership, and develop into an increasingly valuable strategic and operational partner. Commercial awareness, creativity, curiosity, discretion, and resourcefulness are as important as technical skills. WORKING ARRANGEMENT Remote, with meaningful overlap with Los Angeles business hours. Initially 15โ€“20 hours per week, with potential to expand. Long-term opportunity for the right person. Skills assessment required. Confidentiality, data security, and intellectual property agreements required. To apply: Please provide your resume, examples of relevant work (including writing, creative materials, or websites where available), AI and software proficiency, availability, and a short description of a complex project or workflow you organized independently. Selection Process: Shortlisted applicants will be invited to complete a brief, unpaid practical assessment designed to demonstrate their problem-solving ability, creativity, initiative, technical skills, and approach to real-world business challenges. This is an important part of our selection process and an opportunity to demonstrate how you think and work beyond your resume.
