Role Overview

We’re seeking a meticulous, proactive Executive Virtual Assistant to serve as the backbone for two sister brands—one focused on high‑impact marketing and the other on travel and lifestyle storytelling. Your day‑to‑day work will involve orchestrating client onboarding, managing digital pipelines, and providing essential support for an upcoming book launch. If you thrive on organization, enjoy creating order from chaos, and love being the unseen force that keeps projects moving forward, this role is tailor‑made for you.

Key Responsibilities

  • Client Onboarding & Documentation: Send and receive agreements, set up shared folders, and maintain onboarding checklists that ensure a smooth transition for every new client.
  • Inbox & Calendar Management: Monitor and triage emails, draft prepared responses, schedule calls, and log meeting notes and action items.
  • CRM Pipeline Maintenance: Keep the GoHighLevel CRM updated—add tags, manage forms, insert links, and schedule follow‑ups to keep leads moving through the funnel.
  • Content Calendar Oversight: Maintain a Notion task board and content calendar, ensuring deadlines are met and stakeholders are aligned.
  • Social Media Scheduling: Use Meta Planner and LinkedIn’s native scheduling tools to publish approved posts on time.
  • Canva Template Updates: Edit basic Canva templates—checklists, proposals, story frames—to match brand guidelines.
  • Weekly Progress Reporting: Compile a concise summary of accomplishments, upcoming tasks, and any blockers to share with the leadership team.
  • Book Launch Support (Travel Brand Only):
    • Maintain a launch timeline in Notion.
    • Build outreach lists of reviewers, bloggers, influencers, and podcasts.
    • Send first‑pass outreach emails using pre‑approved templates.
    • Track responses, gather screenshots, and compile testimonials.

Tools & Platforms

  • Notion: Core platform for task management and project documentation.
  • GoHighLevel: CRM and marketing automation tool (training provided).
  • Meta Planner & LinkedIn Scheduler: Social media publishing tools.
  • Canva: Basic graphic editing and template customization.
  • Trello, Google Workspace, Microsoft Teams: Collaboration and communication suites.

Essential Qualifications

  • Proven experience as a virtual assistant or administrative professional, preferably in a marketing or creative agency setting.
  • Exceptional written communication skills in English—capable of drafting clear, concise, and professional responses.
  • Fast learner who can quickly master new tools and processes.
  • Unwavering attention to detail—no missed links, incorrect names, or disorganized files.
  • Strong affinity for checklists, structured workflows, and maintaining tidy digital workspaces.
  • Reliable, self‑motivated, and able to work independently while staying aligned with team goals.

Preferred Qualifications

  • Experience with GoHighLevel or similar CRM platforms.
  • Familiarity with social media scheduling tools (Meta Planner, LinkedIn Scheduler).
  • Basic design skills in Canva or Adobe Creative Suite.
  • Background in travel, lifestyle, or publishing industries.
  • Previous experience supporting book launches or product roll‑outs.

Core Competencies

  • Time Management: Ability to juggle multiple priorities and meet deadlines.
  • Communication: Clear, professional, and proactive in all interactions.
  • Problem Solving: Anticipate challenges and propose effective solutions.
  • Adaptability: Thrive in a fast‑moving, evolving environment.
  • Collaboration: Work seamlessly with cross‑functional teams across marketing, operations, and creative departments.

Career Growth & Learning Opportunities

  • Specialize in marketing automation, CRM strategy, or social media strategy.
  • Earn certifications in Notion, GoHighLevel, or Canva through our learning budget.
