Luxury Travel Agency Reservation Manager
You know that moment on vacation when you realize you didn’t have to think about a single logistics detail all day? Somebody did that thinking for you. Great trips look effortless, but in reality they are not. Behind every “wow, that was perfect!” is a travel professional and real person who caught the wrong date, confirmed the transfer, and made it look and feel like magic. That person works at Holiday Planit. We’d like it to be you. Holiday Planit is an award-winning luxury and custom travel agency in Sparks, NV and our clients get a real advisor who starts with what they hope to experience, then builds the destination, stay, transportation, and activities around it. Anyone can click “book” online. But we help people make better decisions, not just process bookings and hand over a basic itinerary. We design an experience around the traveler. For us, luxury is not a price tag. It’s how the whole journey feels: concierge-level coordination, trusted partners, and a team that handles every detail from the first conversation until the traveler is back home. We are currently looking for a Reservation Manager to join our team and be the operational backbone behind everything we promise. From keeping hundreds of active trips accurate and organized, to making sure every client who calls reaches a real, warm human, to catching the tiny details that would have become a very big problem. You’re the calm in the middle of the travel storm, and you’ve already thought of everything. We are a small, close-knit agency, and we like it that way. Our team is warm and detail obsessed. You’ll work side by side with Johanna and a team of advisors, so questions get answered in real time, wins get celebrated out loud, and nobody is just a ticket number. Your work is seen, your ideas are heard, and you’ll have a real hand in our growth. It is important to understand that we pride ourselves in having a small but mighty team and that means good energy is a non-negotiable, because everyone feels it. We cheer for the big wins, we have each other’s backs in busy season, and behind every trip is a real person with a real milestone, and we never forget that. If this sounds like the kind of place you want to show up to every day, keep reading. Who We Are: Before founding Holiday Planit, Johanna van Oeveren spent her early career as a classical dancer, performing on cruise ships and discovering the world one port at a time. The stage taught her what real hospitality looks like: poise, preparation, and making the difficult look easy. Turns out, that’s also the secret to a great trip. She went on to earn her MBA and, in 2014, started Holiday Planit as an independent agency, creating the brand, the systems, and the training from scratch. Her approach has always been simple: start with the traveler, then build everything else around them. Today the agency partners with national tour operators, has a team of dedicated advisors, and grows largely through clients who return and send their friends. What The Reservation Manager Role Actually Is This is not a "just answer the phone and update the spreadsheet" role. You are the operational backbone behind our white-glove service. You answer client calls, build itineraries and travel documents, keep the CRM spotless, support travelers mid-trip, and keep our social channels alive. Equal parts client whisperer, detective, and air traffic controller. A great day looks like having calls answered with a smile, clients reaching a real person, documents are accurate and out the door ahead of departure. One honest note: this role takes about a year to fully master. We will invest real time in training, and we're looking for someone who is passionate about travel and wants to build and grow with us, not just make a temporary pit stop. What You'll Own: Being the primary point of contact for client travel inquiries and reservation questions, by phone and email Watching every trip from booking to return so errors get caught before clients ever see them Supporting travelers mid-trip when something unexpected happens, with calm and a plan Confirming services and preparing itineraries and travel documents, accurate and delivered on time Building passenger manifests for individual and group trips with every traveler detail complete Managing group travel spreadsheets: rosters, payments, and details kept current Tracking trip status across the full active client roster as departures approach CRM data entry and updates across hundreds of active trips, with clean and complete client profiles Updating website pricing and trip details (the double-check-everything kind of detail work) Flagging discrepancies and missing information before they become client-facing problems Assisting Johanna and our advisors with client travel arrangements as needed Growing our Facebook, Instagram, and YouTube channels Creating flyers, newsletters, and social posts in the Holiday Planit voice, and tracking what works Where This Role Can Take You Holiday Planit is constantly growing, and this role sits at the center of how the agency runs. For the right person, it can be the first step toward becoming a travel advisor, with the training, mentorship, and commission potential that come with it. If you come in, own the details, build trust with clients and the team, and prove you can operate at this level, that path is a real one. You'll learn how trips are designed, sold, and delivered from someone who built this business from scratch. We're not promising a timeline or a title but we are promising an amazing career opportunity for the person who earns it. You Could be the Right Job for You If... You have 1 to 2 years in travel, hospitality, hotel reservations, account management or other high-visibility customer-facing role (travel experience is a bonus, and we will train the right person) You have a phone voice and personality people love; you are the person clients wish they could talk to for longer You stay calm and solve problems when a client's day is going sideways You catch the wrong date, the missing passport detail, and the typo before anyone else does You can keep hundreds of moving pieces straight without letting a single one slip You're comfortable in Word, Excel, Outlook, Google Suite, Canva, and Adobe, and you pick up new web-based programs quickly You've used travel platforms like ClientBase or TravelJoy, or you learn systems fast (ASTA or CLIA familiarity is a plus) You have social media and marketing skills, or the creative instincts to build them You communicate in writing the way you do on the phone: warm, clear, and professional You flag issues the moment you see them. Silence is not a status update. You ask questions early instead of guessing for two hours You hold yourself to a high standard and feel energized, not intimidated, by a leader who does too You are reliable. You show up every day, on time, ready to work, because in a small office everyone feels it. You keep client and business information confidential, always You are looking for a role to grow into for the long haul This Might Not Be the Job For You If... Talking on the phone all day sounds exhausting instead of fun "Close enough" is good enough on dates, names, and spellings You are looking for a short-term stop on the way to your next thing You prefer remote work (this role is onsite in Sparks, NV) Urgent client problems make you freeze instead of figure it out "That's not my job" has ever come out of your mouth What Other Details You Should Know Status: Full-Time (32+ hours/week) Location: Onsite at our Sparks, NV office Schedule: Monday through Friday during standard business hours, with some flexibility. Occasional evening or weekend availability may be needed to support clients who are traveling. Pay: $22-25 per hour, DOE, plus commission potential What Working With Johanna Looks Like: Johanna is warm, client-first, and deeply invested in her people. She believes travel should feel personal and effortless, and she expects that same care from her team. Johanna holds a high bar for client delivery and service, and she's upfront about it. Knowledgeable, ethical, responsive, and client-focused is the standard on every call, every document, and every trip. She's also a mentor at heart and values mentorship, positivity, and a calm, peaceful office, and she'll invest the time to teach you this business properly. In return, she expects accuracy, reliability, and genuine warmth with every client. Bring those, and you'll have a leader in your corner. How We Set You Up to Win: We know how it feels to start a new job and wonder what success is supposed to look like. That is not the experience you will have here. You will get hands-on training from Johanna, clear goals, and regular check-ins, with a formal review at 90 days so you always know where you stand. When clients feel taken care of, that traces directly back to you. We will give you everything you need to get there. Our clients are trusting us with honeymoons, milestone birthdays, family reunions, and once-in-a-lifetime trips. We are creating experiences, not just itineraries, and the people on the other end of the phone remember how we made them feel.
