Marketing & Events Coordinator
About the Opportunity The organization is seeking a full-time Marketing & Events Coordinator for a remote position within the United States. This individual-contributor role focuses primarily on hands-on event coordination, alongside ownership of defined marketing projects. The Marketing & Events Coordinator is responsible for turning event plans into well-organized experiences for partners, educators, leaders, and internal colleagues. The role supports the planning and execution of in-person conferences, partner visits, webinars, information sessions, and other events, overseeing details from timelines and vendor management to registration, event materials, on-site logistics, and post-event handoffs.
Key Responsibilities
Coordinate event execution from initial planning through post-event follow-up, managing schedules, registration, vendor relationships, conference booths, travel, shipping, event collateral, run-of-show schedules, and lead handoffs. Act as the hands-on operational contact for assigned in-person conferences and events, coordinating with internal cross-functional partners and external vendors, and providing on-site event support as required. Support multiple event formats and scopes, including up to approximately three large B2B conferences annually, approximately five to seven partner visits, and recurring virtual events (typically one to two per month in a supporting capacity). Develop practical event playbooks, checklists, timelines, and repeatable processes while proactively identifying dependencies, risks, and missing logistical details early. Track event supplies, branded materials, collateral inventory, vendor orders, invoices, expenses, and shipment logistics to ensure all items arrive accurately and on schedule. Coordinate assigned marketing and cross-functional projects using project-management platforms, maintaining clear visibility into task ownership and deadlines. Provide support for light marketing communications, editing, and quality assurance checks as needed. Role Scope Functions as a dedicated logistics and event execution role rather than an administrative or personal assistant position. Focuses on operational delivery across virtual and in-person events rather than social media management, creative content generation, or high-level campaign strategy.
Required Qualifications
Approximately 1–3 years of relevant experience in event coordination, marketing operations, project coordination, or a related field (relevant internships and comparable hands-on experience are accepted). Direct, demonstrable experience coordinating live events—such as conferences, trade shows, webinars, school events, or partner gatherings—beyond event attendance or promotional marketing. Proven experience managing multiple operational elements simultaneously, including timelines, registration processes, vendors, stakeholders, supply shipments, schedules, and last-minute logistical changes. Strong written and verbal communication skills, consistent follow-through, high attention to detail, and comfort collaborating across teams. Comfort using project-management tools to organize tasks, milestones, and deadlines, or the demonstrated ability to master new systems quickly. Willingness and ability to travel domestically 15% to 20% to support in-person events.
