Introduction: The Data‑Driven Future of Business
In an era where information moves at the speed of light, the ability to capture, organize, and retrieve data with pinpoint accuracy is no longer a luxury—it’s a competitive necessity. Every transaction, every customer interaction, and every strategic decision is underpinned by a stream of data that must be handled with care, precision, and speed. At brighthush, we are at the forefront of this transformation, turning raw data into actionable intelligence that empowers our clients to innovate, grow, and lead their industries.
Our mission is simple yet profound: to build a world where every piece of information is accurate, accessible, and secure. We achieve this by combining cutting‑edge technology, rigorous data governance, and a culture that values precision, collaboration, and continuous improvement. As a Remote Precision Data Entry & Records Management Specialist, you will be a key player in this mission, ensuring that every document is captured, catalogued, and stored in a way that makes it instantly retrievable and compliant with the highest standards.
Why This Role Matters
Data is the lifeblood of modern organizations. When it is clean, well‑structured, and easily accessible, teams can make faster, smarter decisions. When it is fragmented, duplicated, or lost, opportunities are missed, compliance risks rise, and productivity stalls. In this role, you will become the linchpin of our information ecosystem, turning chaos into order and ensuring that every document—whether a contract, financial statement, or HR record—is captured accurately and stored in a way that makes it instantly retrievable.
Key Responsibilities
Your day‑to‑day tasks will blend meticulous data handling, quality assurance, and cross‑functional collaboration. You will:
- Intake & Indexing: Receive documents from shared inboxes, internal ticketing systems, and cloud portals; verify document type, required fields, signatures, and attachments; assign standardized metadata (client ID, project code, date, category, version, region) to each record.
- Document Organization: Apply consistent naming conventions and folder hierarchies; convert file formats as needed (PDF merge/split, image‑to‑PDF, compression, version labeling); maintain controlled libraries (final vs draft vs archived) and apply retention tags.
- Quality Control: Conduct daily spot checks for duplicates, misfiles, missing pages, and unreadable scans; flag exceptions and route them to the appropriate owner with clear notes; maintain an error log and contribute to continuous process improvement initiatives.
- Records Governance & Compliance: Safeguard sensitive records with strict access controls; follow retention schedules, legal hold instructions, and deletion/archival rules; support audits by pulling records quickly and documenting chain‑of‑custody steps.
- Collaboration & Communication: Coordinate with HR, Finance, Operations, Legal, and Customer Success teams to clarify file requirements; provide status updates on backlog, turnaround time, and any issues encountered during processing.
- Process Optimization: Identify bottlenecks in the document workflow; propose and implement automation or procedural changes that reduce rework and improve data quality.
Essential Qualifications
- High school diploma or equivalent; associate’s degree in Business Administration, Information Management, or a related field preferred.
- Minimum of 2 years of experience in data entry, records management, or administrative support.
- Proficiency with Office Suite (Excel, Word, Outlook) and cloud storage platforms.
- Strong attention to detail and a commitment to data accuracy.
