Key Responsibilities

As a Remote Virtual Assistant at brighthush, you will be the first point of contact for patients, the backbone of our scheduling system, and the guardian of our financial records. Your day‑to‑day tasks will include:

Patient Communication & Call Handling

Appointment & Schedule Management

  • Confirm, book, and reschedule patient appointments in a timely manner using our practice management system.
  • Follow up on unconfirmed appointments daily to maintain a smooth schedule flow and reduce no‑show rates.
  • Coordinate with clinical staff to optimize appointment slots and accommodate urgent or emergency visits.

Accounts & Financial Administration

  • Manage accounts receivable, track outstanding or overdue payments, and maintain accurate financial records.
  • Contact patients regarding overdue accounts, negotiate payment plans, and collect missed payments with professionalism and empathy.
  • Process patient payments efficiently, reconcile receipts, and generate financial reports for the practice manager.

Administrative & Social Media Support

  • Upload patient records, X‑rays, consent forms, and other documentation into the practice management system.
  • Maintain patient records, update contact details, and ensure data integrity across all platforms.
  • Perform general administrative tasks, data entry, and basic reporting to support daily operations.
  • Create and schedule engaging social media posts that highlight our services, patient success stories, and community events.

Essential Qualifications

  • Proven experience in virtual administrative or customer service roles, preferably in a healthcare setting.
  • Demonstrated ability to handle high‑volume inbound and outbound telephone calls with professionalism and efficiency.
  • Background in managing accounts, accounts receivable, and payment follow‑ups.
  • Excellent written and verbal communication skills in English, with a strong command of tone and clarity.
  • High attention to detail, strong organizational skills, and the ability to multitask in a fast‑paced environment.
  • Self‑motivated, proactive, and capable of working independently in a remote setting.

  • Proficiency in Microsoft Office Suite, Google Workspace, and cloud‑based scheduling tools.
  • Ability to maintain confidentiality and adhere to HIPAA‑style privacy standards.
  • Adaptability to new technologies, processes, and evolving practice workflows.
