Position Overview

We are seeking a highly motivated, customer‑centric Remote Customer Service Specialist to join our dynamic call center team. In this role, you will be the first point of contact for healthcare professionals, caregivers, and referral sources. You will handle inbound calls, process orders, resolve issues, and ensure a seamless experience throughout the entire order lifecycle. Your work will directly influence customer satisfaction and the operational efficiency of our distribution network.

What You’ll Do

  • Answer and manage 60–80 inbound calls daily, delivering accurate product information, order placement, and status updates.
  • Process new and repeat orders for medical supplies, ensuring compliance with scheduling, demand planning, and inventory protocols.
  • Handle non‑routine orders such as product samples, special requests, and custom packaging, coordinating with internal teams to meet unique customer needs.
  • Resolve order discrepancies, billing inquiries, and customer complaints with empathy and professionalism, aiming for first‑time resolution.
  • Navigate multiple computer systems and applications, including order management, CRM, and billing platforms, to retrieve account information and update records.
  • Interpret insurance terminology, verify coverage, and explain billing details to customers in clear, understandable language.
  • Collaborate with supervisors and team leads on complex or unusual issues, escalating when necessary to ensure timely resolution.
  • Adhere to all company policies, regulatory standards, and quality assurance metrics such as average handle time, adherence, and call quality scores.
  • Maintain a positive, empathetic, and professional attitude toward customers and colleagues at all times.
  • Participate in ongoing training and development sessions to stay current on product knowledge, industry trends, and process improvements.

Essential Qualifications

  • High school diploma, GED, or equivalent; a bachelor’s degree is a plus.
  • 2–4 years of experience in a high‑volume call center environment, preferably within healthcare or medical supply.
  • Proven ability to communicate clearly and actively listen, with strong verbal and written communication skills.
  • Experience working remotely or in a work‑from‑home setting, with a reliable, high‑speed internet connection (minimum 25 Mbps download).
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with order placement systems.
  • Strong problem‑solving skills and the ability to handle complex, sensitive customer inquiries with composure.
  • Demonstrated track record of meeting or exceeding call center metrics such as average handle time, adherence, and quality scores.
  • Knowledge of insurance billing processes and terminology is highly desirable.

Preferred Qualifications

  • Experience with root cause analysis and continuous improvement initiatives.
  • Familiarity with call‑center phone systems and call‑routing software.
  • Background in customer service within the healthcare industry.
  • Experience with order management and inventory systems specific to medical supplies.
  • Knowledge of regulatory compliance standards such as HIPAA and FDA guidelines.

Skills & Competencies

  • Exceptional customer‑service mindset with a genuine desire to help others.
  • Strong analytical and troubleshooting abilities.
  • Adaptability to changing priorities and a fast‑paced environment.
  • Team player who collaborates effectively across departments.
  • Time‑management skills to balance multiple tasks while maintaining quality.
  • Tech‑savvy: comfortable learning new software and tools quickly.
  • Attention to detail and a commitment to accuracy in data entry and documentation.
