In this role, you’ll be the linchpin that keeps our databases, spreadsheets, and reporting tools in pristine condition. You’ll work independently, leveraging your organizational prowess and razor‑sharp attention to detail to ensure every entry, update, and maintenance task is performed with precision and speed.

As a key contributor, you’ll collaborate with cross‑functional teams—marketing, sales, finance, and product—to gather, validate, and input data that fuels analytics, reporting, and strategic planning. Your work will directly impact the quality of insights that guide business decisions, making this role essential to our success.

Key Responsibilities

  • Accurately input, update, and maintain data across multiple systems, including CRM, ERP, and custom databases.
  • Validate data integrity by cross‑checking entries against source documents and performing regular audits.
  • Maintain and update complex spreadsheets, ensuring formulas, pivot tables, and dashboards remain functional and up‑to‑date.
  • Collaborate with team members to resolve data discrepancies and implement corrective actions.
  • Document data entry processes, best practices, and troubleshooting steps to support knowledge sharing.
  • Adhere to data privacy and security protocols, ensuring compliance with GDPR, CCPA, and internal policies.
  • Generate regular reports on data quality metrics, error rates, and process improvements.
  • Participate in continuous improvement initiatives to streamline data workflows and reduce manual effort.
  • Provide timely updates to stakeholders on data status, challenges, and opportunities for enhancement.
  • Support ad‑hoc data requests and projects, demonstrating flexibility and a proactive mindset.

Essential Qualifications

  • High school diploma or equivalent; associate’s or bachelor’s degree in a related field is a plus.
  • Minimum of 2 years of experience in data entry, data management, or a related role.
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace.
  • Strong typing speed (≥60 WPM) with a high accuracy rate (≥99%).
  • Excellent organizational skills and the ability to manage multiple tasks simultaneously.
  • Detail‑oriented mindset with a commitment to data accuracy and quality.
  • Self‑motivated and capable of working independently with minimal supervision.
  • Effective written and verbal communication skills in English.
  • Basic understanding of data privacy regulations (GDPR, CCPA) and data security best practices.

Preferred Qualifications

  • Experience with data integration tools (e.g., Zapier, Integromat) or ETL processes.
  • Familiarity with CRM platforms such as Salesforce, HubSpot, or Zoho.
  • Knowledge of database concepts and SQL basics.
  • Experience in a remote work environment, demonstrating strong time‑management and self‑discipline.
  • Previous exposure to data quality frameworks (e.g., DAMA, ISO 8000).
  • Certification in data management or related fields (e.g., Data Management Professional).

Skills & Competencies

  • Technical Proficiency: Advanced Excel skills (VLOOKUP, INDEX/MATCH, conditional formatting, macros), data visualization tools, and familiarity with database queries.
  • Analytical Thinking: Ability to identify patterns, spot anomalies, and propose data‑driven solutions.
  • Communication: Clear articulation of data issues, recommendations, and status updates to non‑technical stakeholders.
  • Problem‑Solving: Quick troubleshooting of data inconsistencies and proactive identification of process bottlenecks.
  • Adaptability: Comfortable learning new tools, systems, and processes as the organization evolves.
  • Collaboration: Team player who values feedback, shares knowledge, and supports colleagues across functions.
  • Integrity: Commitment to data privacy, confidentiality, and ethical handling of sensitive information.
