- Communicate effectively with clients, employees, insurance carriers, and vendors, maintaining clear, timely, and accurate records.
- Assist with employee enrollments, terminations, eligibility changes, and other benefits administration tasks.
- Track and follow up on service requests, ensuring all items reach completion within established deadlines.
- Schedule meetings, calls, appointments, and follow‑ups, coordinating across multiple stakeholders.
- Maintain meticulous notes and client information in our CRM and internal systems, ensuring data integrity and confidentiality.
- Support renewals and Open Enrollment administrative tasks, contributing to smooth, compliant processes.
- Organize documents, correspondence, and electronic client files, keeping the system clean and accessible.
- Follow established workflows, checklists, systems, and procedures, while proactively identifying gaps and suggesting improvements.
- Identify missing information or potential issues, taking appropriate steps to resolve them before they impact service quality.
- Uphold strict confidentiality when handling employee, health insurance, and business information, adhering to HIPAA and other privacy regulations.
Essential Qualifications
- Strong phone etiquette and customer‑service mindset.
- Prior experience in customer service or as an administrative assistant.
- Highly organized, with excellent scheduling and follow‑up skills.
- Detail‑oriented, ensuring accuracy in all tasks.
- Reliable, consistent, and accountable—able to work independently.
- Professional written and verbal communication skills.
- Comfortable speaking directly with clients and resolving service issues.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn CRM systems and carrier portals.
- Strong problem‑solving skills and good judgment.
- Commitment to confidentiality, data security, and HIPAA compliance.
Preferred Qualifications
- Experience in group health insurance, employee benefits, healthcare administration, HR benefits, or related financial services.
- Familiarity with insurance carrier portals and benefits administration software.
- Background in a fast‑paced, high‑volume call center or client‑service environment.
- Previous exposure to compliance requirements such as HIPAA, GDPR, or similar data‑privacy frameworks.
- Interest in pursuing a long‑term career within the insurance and financial services industry.
