Key Responsibilities

As a Bilingual Virtual Assistant & Receptionist, you’ll be the first point of contact for patients and a critical link in our clinic’s operational chain. Your day‑to‑day tasks will include:

  • Phone & Communication Management: Handle a high volume of inbound and outbound calls with patients, pharmacies, payer offices, and other healthcare stakeholders. Deliver clear, professional communication in both English and Spanish, ensuring every interaction reflects brighthush’s commitment to quality care.
  • Appointment Coordination: Manage new and existing patient scheduling via phone, email, and text. Maintain provider calendars, prevent scheduling conflicts, and coordinate cancellations, reschedules, and waitlist placements.
  • Pre‑Visit Outreach: Conduct proactive outreach to patients before appointments, providing next‑step instructions, insurance information, and any required pre‑authorization details.
  • Insurance Verification: Verify patient eligibility, copays, deductibles, and authorization requirements. Identify potential payer issues early and communicate findings to patients and internal staff.
  • Referral & Prior Authorization Support: Process referral documents, initiate prior authorization requests, and track approvals or denials. Coordinate with payer offices and internal teams to avoid delays.
  • Administrative Excellence: Maintain accurate, HIPAA‑compliant documentation in our EMR system. Manage inboxes, task queues, forms, uploads, and follow‑up tracking with minimal supervision.
  • Patient Advocacy: Answer routine patient questions, provide empathy and calmness, especially when dealing with elderly or anxious patients. Escalate concerns appropriately and ensure a smooth patient journey.

Essential Qualifications

  • Bilingual Proficiency: Native or near-native fluency in both English and Spanish, with excellent verbal and written communication skills.
  • Patient‑Facing Experience: Prior experience handling phone calls in a healthcare, customer service, or administrative support role.
  • Organizational Skills: Ability to manage multiple tasks simultaneously, maintain meticulous records, and follow through on commitments.
  • Technical Setup: Reliable computer, high‑quality headset, and stable internet connection for remote work.
  • HIPAA Knowledge: Understanding of HIPAA regulations and experience with HIPAA‑compliant workflows.
  • Professional Demeanor: Confident, courteous, and calm on the phone, especially when handling sensitive or complex situations.

Preferred Qualifications

  • Clinical or healthcare background (e.g., medical assistant, nursing, or health administration).
  • Familiarity with EMR/EHR systems such as Epic, Cerner, or Athenahealth.
  • Experience supporting internal medicine or primary care outpatient practices.
