Property Management Accounting Associate
Property Management Accounting Associate Confidential search by HireEffect™ Remote in Virginia, U.S. only Full-Time About Our Client HireEffect is conducting a confidential search for our client, an owner-led accounting firm that provides bookkeeping and reconciliation services to property management companies. It is a small, close-knit team that runs on clear processes, cloud-based tools, and a high standard for getting the numbers right.
About the Role
Our client is hiring a Property Management Accounting Associate to work directly with the firm owner on the reconciliation work that keeps client books accurate. You will start with data entry, pulling reports, first-level reviews, and reconciliations, supported by extensive training through screen-share sessions and shadowing. Within six to twelve months, the goal is for you to handle second-level reconciliation and troubleshooting on your own. This is a high-trust role: you will have access to client bank accounts and systems that can move money. If you learn new software fast, love it when the numbers tie out, and like owning your work from start to finish, we would love to meet you.
What You'll Do
Reconcile the bank side. Download weekly bank activity, update the monthly reconciliation workbook, and match transactions in the client's system to find what is missing or mismatched. Reconcile the property management side. Review disbursements, reservation payments, and owner charges, and reconcile accounts without a bank feed by comparing reports spreadsheet-to-spreadsheet. Embrace new technology. Leverage firm-approved artificial intelligence tools (Claude, ChatGPT, etc.) as appropriate. Keep systems in sync. Clean and format bank and system data, and push data between systems so everything matches. Troubleshoot and document. Resolve what you can, write clear notes on open items, and escalate the rest to the firm owner or the client. Keep work moving. Manage your tasks in Asana, flag delays early, and follow up on open questions while keeping the rest of your work on track. Make the process better. Build checklists, cheat sheets, and standard operating procedures as patterns emerge. Who You Are You have three or more years of hands-on bookkeeping or accounting experience, including account reconciliations, and a solid grasp of debits and credits. You are comfortable in QuickBooks Online, and quick to pick up Xero and other cloud tools, including AI. You are strong in Excel and Google Sheets, including pivot tables and cleaning up messy data. You learn by doing: watch a video or read the steps, try it, and come back with specific questions. And once you learn it, it sticks. You are self-directed and follow through without being chased. You notice patterns and apply what you learn in one client file to the next. You are honest, discreet, and dependable. You write clearly and professionally, including messages to clients.
