  • Invoice Preparation & Processing: Generate and send customer invoices promptly, ensuring accuracy and compliance with company standards. Reconcile billing data with project budgets and resolve discrepancies.
  • Customer Follow‑Up: Reach out to clients to confirm satisfaction, address outstanding items, and gather feedback. Serve as the primary point of contact for post‑project support.
  • Project Coordination: Coordinate schedules, documentation, and communication between customers, vendors, and internal teams. Maintain a clear project timeline and status updates.
  • Record Maintenance: Keep project records up‑to‑date in our CRM and database systems. Ensure data integrity and accessibility for all stakeholders.
  • Collections Support: Follow up on overdue invoices and collaborate with the finance team to resolve payment issues. Track collections metrics and report trends.
  • Issue Resolution: Address customer questions and concerns professionally and promptly. Escalate complex issues to the appropriate department.
  • Stakeholder Communication: Provide regular project updates to customers and internal stakeholders. Prepare concise status reports and dashboards.
  • Administrative Support: Assist with general office operations and ad‑hoc tasks as needed. Manage calendars, travel arrangements, and meeting logistics.

  • Exceptional organizational and time‑management skills, with the ability to juggle multiple priorities in a fast‑paced environment.
  • Excellent verbal and written communication skills, capable of conveying complex information clearly.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and familiarity with invoicing, billing, and CRM systems.
  • High attention to detail and strong problem‑solving abilities.
  • Reliable high‑speed internet connection and a dedicated workspace for remote work.
  • Availability to work within the Eastern or Central time zones.

Preferred Experience
