Position Overview

We are seeking a highly organized, patient‑centric Bilingual Virtual Assistant & Receptionist to join our remote team. This part‑time role (40 hours per week) is ideal for professionals who thrive in communication, multitasking, and problem‑solving. You will be the first point of contact for patients, ensuring smooth scheduling, accurate insurance verification, and exceptional service—all while maintaining strict HIPAA compliance.

Compensation: $6.50 per hour, with a performance review after six months that offers the potential for increased pay and expanded responsibilities.

Key Responsibilities

1. Patient Communication & Support

  • Handle a high volume of inbound and outbound calls, emails, and texts from patients, pharmacies, and payer offices.
  • Communicate clearly and professionally in both English and Spanish, ensuring that every patient feels heard and respected.
  • Provide appointment reminders, follow‑up calls, and rescheduling assistance, maintaining a calm, patient‑friendly tone—especially when interacting with elderly or anxious patients.
  • Answer routine patient inquiries, triage concerns, and refer complex issues to the appropriate clinician or administrative staff.
  • Document all interactions accurately in the electronic medical record (EMR) and internal tracking systems.

2. Appointment Scheduling & Calendar Management

  • Coordinate new and existing patient appointments via phone, email, and text, ensuring optimal use of provider time.
  • Maintain provider calendars, preventing gaps, overlaps, and scheduling conflicts.
  • Confirm appointments, manage cancellations, reschedules, and waitlist coordination.
  • Conduct pre‑visit outreach to confirm patient details, insurance status, and any required pre‑authorization steps.
  • Update patient demographics, appointment notes, and call outcomes in the EMR.

3. Insurance Verification & Benefits Management

  • Verify patient eligibility and benefits before each appointment, confirming copays, deductibles, and covered services.
  • Identify insurance issues early and communicate findings clearly to patients and internal staff.
  • Document verification results accurately in the EMR and any internal trackers.
  • Escalate unresolved payer issues and follow through until resolution.

4. Referral & Prior Authorization Support

  • Process referral requests, ensuring all required documentation is complete.
  • Initiate and track prior authorization requests, monitoring approvals, denials, and required follow‑ups.
  • Coordinate with payer offices, provider offices, and internal team members to avoid delays.

5. Administrative & Documentation Excellence

  • Maintain accurate, timely, and consistent documentation across all patient interactions.
  • Support daily administrative workflows: inbox management, task queues, form uploads, and follow‑up tracking.
  • Handle patient information in a HIPAA‑compliant manner, safeguarding confidentiality at all times.
  • Provide proactive status updates and complete assigned tasks with minimal supervision.

Essential Qualifications

  • Fluent in English and Spanish—both verbal and written communication skills must be excellent.
  • Prior experience in a patient‑facing, customer‑service, or healthcare support role.
  • Confidence and professionalism on the phone, especially when coordinating appointments and following up with patients.
  • Highly organized, detail‑oriented, and capable of managing multiple tasks simultaneously.
  • Ability to work independently, communicate updates clearly, and maintain a proactive mindset.
  • Reliable computer setup, headset, and stable internet connection for remote work.
  • Knowledge of HIPAA regulations or experience with HIPAA‑compliant workflows.

Preferred Qualifications

  • Clinical or healthcare background, such as medical assistant, nursing, or health administration.
  • Familiarity with EMR/EHR systems (e.g., brighthush, brighthush, brighthush).
  • Experience supporting internal medicine, primary care, or similar outpatient practices.
  • Knowledge of insurance verification processes and prior authorization workflows.

  • Proficiency with Microsoft Office Suite, Google Workspace, and basic data entry.
  • Adaptability to new technologies and willingness to learn new systems quickly.
  • Time‑management skills that allow for efficient multitasking and prioritization.
  • Commitment to maintaining patient confidentiality and data security.
