Role Overview

As a Part‑Time Customer Operations Specialist, you will be the linchpin that keeps freight moving smoothly from pickup to delivery. Your day will involve building shipments in our TMS, monitoring progress, communicating proactively with customers and brokers, and resolving any operational hiccups before they become customer concerns. You’ll work the Saturday‑Sunday shift (8 am–6 pm CST), ensuring that every shipment is tracked, updated, and delivered on time.

What You’ll Do

1. Load Building & Shipment Setup

  • Review incoming Delivery Orders (DOs) and extract shipment requirements.
  • Accurately enter shipment details into the TMS, ensuring data integrity.
  • Confirm shipment setup completion via email—reply “received, thank you” and include PO#, BKG#, or MBOL# in the subject line.
  • CC relevant tracking teams and operational stakeholders to keep everyone in sync.
  • Validate all shipment data before operational execution begins.

2. Load Coverage & Shipment Monitoring

  • Verify that all shipments are fully covered before scheduled pickup times.
  • Escalate uncovered shipments to brokers at least 2 hours prior to pickup.
  • Track shipment progress in real time and communicate any delays proactively.
  • Coordinate with internal teams on recovery trucks, carrier replacements, service interruptions, and late pickups or deliveries.

3. Customer Communication & Updates

  • Provide daily ETA updates for pickup and delivery appointments.
  • Share truck location details once shipments are loaded (e.g., “Truck is currently in Houston, TX with ETA to delivery at 09:00 AM”).
  • Notify customers immediately upon driver arrival at shipper/receiver and departure from shipper/receiver, including exact timestamps.
  • Alert customers when detention begins for OTR shipments (after 2 hours onsite).
  • Inform brokers of late pickups, late deliveries, missed appointments, and service risks.
  • Assist in determining next operational steps: customer communication, carrier replacement, or recovery truck coordination.

4. Import & Export Shipment Coordination

  • Maintain and update shipment tracking charts for import and export freight.
  • Update customer tracking sheets with appointments, container pull status, container numbers, holds or customs‑related issues, and delivery updates.
  • Monitor and communicate container loading schedules, delivery schedules, port or terminal delays, and operational exceptions.
  • Send final delivery documentation, charges, and PODs upon shipment completion.

Essential Qualifications

  • Prior experience in logistics, freight operations, customer operations, dispatch, or transportation coordination.
  • Exceptional attention to detail and ability to manage multiple shipments simultaneously.
  • Strong organizational and follow‑up skills.
  • Excellent written and verbal English communication skills.
  • Proficiency in TMS systems and shipment tracking tools.
  • Strong sense of urgency, accountability, and proactive problem‑solving.
  • Comfortable working in fast‑paced transportation and logistics environments.
  • Ability to work independently in a remote setting.

Preferred Qualifications

  • Experience with international freight and customs compliance.
  • Knowledge of freight brokerage platforms and carrier management.
  • Familiarity with data analytics tools for performance reporting.
  • Previous remote work experience with a proven track record of self‑management.

Key Skills & Competencies

  • Operational Excellence – meticulous execution and continuous improvement.
  • Customer‑Centric Communication – clear, concise, and proactive updates.

  • Technology Savvy – comfortable navigating TMS, CRM, and real‑time dashboards.
