Key Responsibilities
- Builder Billing (Work Done)
- Prepare and submit accurate builder invoices for completed work, ensuring alignment with job records, approved scopes, and pricing.
- Maintain a meticulous filing system—both digital and physical—so that every invoice is traceable and auditable.
- Collaborate with field teams to verify that billed work matches on‑site completion and quality standards.
- Extra Work Quotes & EPO/VPO Requests
- Draft detailed quotes for scope changes, ensuring they reflect true cost and margin impact.
- Submit EPO/VPO requests to builders, track approvals, and confirm that approved changes are reflected in subsequent invoices.
- Coordinate with procurement to secure necessary approvals and documentation.
- Collections & Overdue Invoice Follow‑Up
- Monitor aging reports daily, flagging invoices that exceed the agreed payment terms.
- Engage builders via phone, email, and portal notifications to resolve payment delays.
- Document all communication and, when necessary, route escalations to senior collections managers.
- Invoice, EPO & VPO Dispute Resolution
- Investigate discrepancies by cross‑checking job records, approvals, and builder statements.
- Communicate findings to builders and internal stakeholders, proposing corrective actions.
- Issue credits, re‑issues, or adjustments promptly to maintain accurate financial records.
- Builder Payments
- Process, post, and reconcile builder payments against open invoices, ensuring accurate allocation.
- Identify short payments, overpayments, or unapplied funds, and follow up to reconcile balances.
- Maintain up‑to‑date payment records for reporting and audit purposes.
- Reporting & Cross‑Functional Collaboration
- Generate regular AR status updates, aging summaries, and cash‑flow forecasts for senior management.
- Coordinate with Operations, Field, and Finance teams to confirm work completion and extra work details.
- Recommend process improvements that accelerate billing cycles and reduce dispute frequency.
What We’re Looking For
- Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Experience: 2–5+ years in accounts receivable, billing, or collections—preferably within construction, home building, or trade services.
- Language Proficiency: Excellent written and verbal English communication skills, with the ability to handle builder inquiries and disputes professionally.
- Working Schedule: Flexibility to work overnight/graveyard shifts in Philippine time or within U.S. operating hours.
- Technical Skills
- Advanced proficiency in Microsoft Excel (VLOOKUP, pivot tables, filters) and Google Sheets.
