Position Overview

We are seeking a Senior Remote Data Entry Specialist who excels in precision, organization, and technology. In this role, you will be the guardian of data integrity within our e‑filing ecosystem, ensuring that every legal document is accurate, compliant, and securely stored. You will collaborate closely with the e‑Fulfillment and e‑Filing teams to review, file, and manage documents using our proprietary online platforms. This position is fully remote; however, candidates must be based in Puerto Rico to comply with local regulatory requirements.

Key Responsibilities

  • Document Review & Filing: Carefully examine legal documents for completeness, accuracy, and compliance before uploading them to our secure online filing system. This includes verifying metadata, ensuring proper formatting, and confirming that all required signatures and attachments are present.
  • Process Improvement: Participate in ongoing training sessions and workshops to deepen your understanding of industry best practices and internal workflows. Identify bottlenecks, propose enhancements, and help implement streamlined processes that increase efficiency and reduce errors.
  • Issue Resolution: Identify and investigate discrepancies or anomalies in documents or data, collaborating with cross‑functional teams to implement corrective actions. Escalate complex issues to senior stakeholders and track resolution status.
  • Project Support: Take on additional projects as assigned, such as data migration, audit preparation, or system testing, to support the broader e‑filing initiative. Provide detailed documentation and status updates to keep stakeholders informed.
  • Quality Assurance: Perform routine checks to ensure that all entries meet brighthush’s high standards for accuracy and completeness. Develop and maintain QA checklists and audit logs.
  • Team Collaboration: Communicate effectively with teammates and stakeholders, providing updates on project status and raising any concerns in a timely manner. Foster a culture of transparency and continuous improvement.
  • Data Security & Confidentiality: Adhere to strict data protection protocols, ensuring that all sensitive information is handled in compliance with legal and regulatory standards.

Essential Qualifications

  • Education: High school diploma or GED. A strong academic foundation is valued, and any additional coursework in business, information technology, or legal studies is a plus.
  • Typing Proficiency: Minimum typing speed of 50–60 words per minute with high accuracy (≥98%).
  • Language Skills: Fluent reading, writing, and speaking in English. Proficiency in Spanish is highly desirable given our Puerto Rico location.
  • Attention to Detail: Exceptional eye for detail and a commitment to delivering error‑free work. Ability to spot inconsistencies and correct them before they become issues.
  • Team Player: Demonstrated ability to collaborate effectively in a remote, cross‑functional environment. Comfortable using collaboration tools such as Slack, Microsoft Teams, and Zoom.
  • Technical Aptitude: Comfortable using Microsoft Office Suite (Word, Excel, Outlook) and quick to learn new software tools. Familiarity with document management systems is a plus.
  • Reliability: Ability to perform repetitive tasks with consistent accuracy and meet deadlines. Strong time‑management skills and self‑discipline in a remote setting.

Preferred Qualifications

  • Data Entry Experience: Prior experience in data entry or a related role is a significant advantage. Experience in a legal or compliance environment is especially valuable.
  • Legal Industry Exposure: Familiarity with legal documents, terminology, or e‑filing processes is highly desirable. Experience with court filing systems or regulatory submissions is a plus.
  • Advanced Excel Skills: Knowledge of formulas, pivot tables, data validation, and basic macros to streamline data management and reporting.
  • Problem‑Solving: Ability to troubleshoot issues independently and propose practical solutions. Strong analytical mindset and a proactive approach to problem resolution.
  • Project Management: Experience managing small projects or initiatives, including setting timelines, coordinating with stakeholders, and delivering results on schedule.

Skills & Competencies

  • Strong organizational and time‑management skills.
  • Excellent written and verbal communication.
  • Proficiency in data entry and document management systems.
  • Adaptability to changing priorities and fast‑paced environments.
