Why This Role Matters

The Virtual Assistant position is the backbone of our creator operations in Brazil. You will be the first point of contact for new creators, the guardian of accurate payment processing, and the moderator of our creator Discord community. Your work ensures that creators feel welcomed, supported, and paid on time—critical factors that drive creator satisfaction, retention, and the overall success of brighthush’s campaigns.

Key Responsibilities

Creator Onboarding & Relationship Management

• Guide new Brazilian creators through the onboarding journey, ensuring all required documentation, platform access, and brand guidelines are completed.
• Conduct welcome calls or video chats in fluent Brazilian Portuguese, answering any initial questions and setting clear expectations.
• Maintain a living onboarding checklist in Notion, updating it as processes evolve.

Payment Administration & Financial Accuracy

• Log creator payments in our internal finance system with meticulous attention to detail, guaranteeing that every invoice matches the agreed‑upon rates.
• Respond promptly to creator payment inquiries, providing clear explanations in both Portuguese and English.
• Collaborate with the finance team to reconcile monthly payout reports and flag any discrepancies before they become issues.

Creator Support & Daily Operations

• Answer day‑to‑day creator questions—ranging from campaign brief clarifications to platform‑specific posting guidelines—through Discord, email, and other communication channels.
• Monitor the Brazilian creator Discord server, enforce community standards, and foster a supportive, collaborative atmosphere.
• Perform post‑launch checks to verify that each creator’s content is live on all required platforms (TikTok, Instagram, YouTube, etc.).
• Identify missed posts, document them, and alert the campaign manager and broader team for rapid remediation.

Cross‑Platform Consistency

• Ensure creators publish on every mandated platform for each campaign, not just their preferred channel.
• Maintain a master schedule that tracks platform‑specific deadlines and provides real‑time visibility to the campaign lead.

Ad‑Hoc Project Support

• Assist the campaign lead with one‑off tasks such as creating Notion knowledge‑base pages, designing simple slide decks for creator training, and compiling performance reports.
• Propose process improvements based on observed bottlenecks or creator feedback.

Working Hours & Schedule

This role follows the Brazilian time zone (BRT). Core hours are 9:00 AM – 5:00 PM, Monday through Friday. The position starts with an expected commitment of 3–4 hours per day and will scale up to 8 hours per day as the Brazilian creator roster expands to 70–80 active creators. Flexibility is essential; you may need to adjust your schedule to accommodate creator live‑stream events or urgent payment issues.

Essential Qualifications

• Language Proficiency: Native‑level fluency in Brazilian Portuguese and strong working proficiency in English.
• Numerical Accuracy: Demonstrated ability to work with numbers, spreadsheets, and financial data without errors.
• Technical Savvy: Comfortable navigating Discord, Notion, Google Workspace, and major social media platforms (TikTok, Instagram, YouTube, Facebook, etc.).
• Organizational Skills: Proven track record of managing multiple tasks, meeting deadlines, and maintaining detailed records.
• Independent Work Ethic: Ability to work autonomously, prioritize tasks, and proactively flag issues.
• Customer‑Centric Attitude: Friendly, responsive, and professional communication style with creators and internal stakeholders.
