Remote Position

HR Specialist - Client-Facing, Native-Level American English (Full-Time, Remote, Pacific Time)

🌍 Remote · United States 💼 Full-time

Intesa HR is a US-based HR outsourcing firm headquartered in Fishers, Indiana. We serve as the outsourced HR department for small and mid-size employers. We are hiring a full-time HR Specialist to serve as the day-to-day HR contact for assigned client accounts. You will start as the dedicated HR contact for 1 small client on the West Coast and, depending on your performance, take on 1 to 2 additional accounts. You will be the person client managers and staff call. Our clients expect the same experience they would have with an HR professional down the hall, so this role requires native-level American English on the phone and in writing. You do not need to be born in the US; you need to sound and write like you were. Location is flexible; working hours are not. WHAT YOU WILL DO Serve as the named HR point of contact for your assigned clients’ leadership and staff: answer questions, take requests, and own follow-through. Run day-to-day HR operations for each account: onboarding and offboarding, personnel files, policy questions, handbook updates, and compliance calendars. Administer benefits: open enrollment, carrier and broker coordination, eligibility, enrollment changes, COBRA notices, and employee questions about coverage. Coordinate workers compensation: injury reporting, carrier communication, return-to-work, and the workplace injury procedure. Handle first-level employee relations: intake of concerns, documentation, coaching managers on routine performance conversations, and escalating complex matters to Intesa’s senior HR team. Support leave requests (FMLA, state leave, accommodations) with intake and documentation, with senior review on determinations. Prepare and deliver clear, well-written communications to staff and leadership: memos, announcements, policy notices, and meeting summaries. Keep tickets, case notes, and client records current in our systems. Join client calls and occasional leadership meetings by video. MUST HAVE Native-level American English, spoken and written, with an American communication style. You will be assessed on a live phone call and a writing sample. 3+ years of hands-on HR generalist experience with US employers, including benefits administration and employee relations. Working knowledge of US employment basics: FLSA, FMLA, ADA, COBRA, I-9, and state leave and wage rules. Western US state experience is a plus. Confident, warm, and professional on the phone. Comfortable being the face of HR for small teams that have never had an HR department before. Strong organization and follow-through. People will rely on you to close the loop. Availability to work Pacific time business hours, full-time, Monday through Friday. Reliable high-speed internet, a quiet private workspace, and strict confidentiality discipline. NICE TO HAVE SHRM-CP, PHR, or aPHR. Nonprofit experience. Multi-client, HRO, or PEO experience. Experience with Paychex, Freshdesk or another ticketing system, and Microsoft 365. SCHEDULE AND STRUCTURE Full-time, 40 hours per week, long-term. Monday to Friday, Pacific time business hours. Reports to Intesa HR’s HR Manager; supported by Intesa’s senior HR and compliance team for complex matters. 90-day introductory period, standard for all Intesa HR positions. COMPENSATION $6 to $8 per hour. Please state your expected rate in your proposal. HOW TO APPLY Submit a proposal that includes: Where you are located and the hours you can commit to in Pacific time. A summary of your US HR generalist experience: employers, states, headcount supported, and the HR functions you personally owned. One example of a benefits enrollment or workers compensation matter you handled end to end. A short writing sample: a 3 to 5 sentence announcement to staff about an upcoming benefits open enrollment, written as you would send it. Your SHRM or HRCI certification status. A 60-second voice or video recording introducing yourself (Upwork allows video in proposals, or share a link). Shortlisted candidates complete a 15-minute phone screen and 2 interviews.
