About the Role
As a Remote Data Entry Specialist, you will be the backbone of our data integrity initiatives. You’ll play a pivotal role in ensuring that every piece of information we handle is accurate, consistent, and ready for analysis. Your day‑to‑day tasks will include:
- Accurately inputting, updating, and validating data across multiple systems, including CRM, ERP, and custom databases.
- Maintaining and organizing spreadsheets, ensuring consistency in formatting, naming conventions, and data structures.
- Conducting regular data audits to identify discrepancies, duplicates, and missing information.
- Collaborating with cross‑functional teams—marketing, sales, and product—to understand data requirements and deliver timely updates.
- Documenting data entry procedures and best practices to support onboarding and continuous improvement.
- Using data visualization tools (e.g., Power BI, Tableau) to generate simple reports that highlight trends and insights.
- Ensuring compliance with data privacy regulations (GDPR, CCPA) and internal security protocols.
- Participating in weekly stand‑ups and bi‑weekly retrospectives to share progress, challenges, and ideas for process optimization.
Day in the Life
Imagine starting your day with a quick stand‑up, reviewing the data quality dashboard, and then diving into a batch of new leads that need to be entered into Salesforce. You’ll use Excel’s Power Query to clean and deduplicate the data, cross‑check it against our internal validation rules, and then push the final dataset into our central repository. Throughout the day, you’ll collaborate with the marketing team to refine their lead capture forms, ensuring that the data they collect is both accurate and actionable. In the afternoon, you’ll review a set of customer support tickets, update the CRM, and generate a brief report for the product team to highlight any recurring issues.
Essential Qualifications
We’re looking for candidates who bring a blend of technical skill, attention to detail, and a proactive mindset:
- High school diploma or equivalent; associate’s degree in Business, Information Technology, or a related field is a plus.

- Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and Google Workspace (Sheets, Docs, Drive).
- Experience with data validation tools, such as Excel’s Data Validation, Power Query, or similar.
- Strong typing speed (≥ 60 WPM) with a high accuracy rate (≥ 99%).
- Excellent organizational skills and the ability to manage multiple priorities simultaneously.
- Self‑motivated, reliable, and comfortable working independently with minimal supervision.
