  • Communication & Coordination: Act as the primary point of contact for internal and external stakeholders, requesting additional information or clarifications as needed.
  • Document Handling: Sort, file, and label incoming faxes and physical documents, attaching them to the appropriate patient record.
  • Shift Flexibility: Adapt to varying schedules, including coverage for on‑call or overnight shifts to support continuous patient care.
  • Ad‑hoc Projects: Participate in special initiatives such as data audits, process improvement studies, or system migrations.
  • Compliance & Confidentiality: Adhere to all privacy regulations (PHIPA, PIPEDA) and maintain strict confidentiality of patient information.

Essential Qualifications

  • Minimum of 2 years’ experience in a data entry or administrative role within a healthcare or pharmaceutical environment.
  • Proficiency in English and French (both written and spoken) to serve patients and colleagues across Quebec and New Brunswick.
  • Strong computer skills, including advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with CRM systems such as Salesforce.
  • Knowledge of medical terminology and familiarity with pharmacovigilance guidelines (Health Canada, US FDA, EMEA, ICH).
  • Excellent organizational abilities, meticulous attention to detail, and a proven track record of meeting deadlines.
  • Ability to work independently while also supporting team members during peak periods.
  • Experience with faxing software (e.g., MyFax, RightFax) is an asset.

Preferred Qualifications

  • Post‑secondary education in life sciences, health information management, or a related field.
  • Certification in data management or quality assurance within the healthcare sector.
  • Prior exposure to clinical research or medication safety programs.
  • Experience with data validation tools and source‑to‑target data mapping.
  • Knowledge of regulatory submissions and reporting requirements for drug safety.

Skills & Competencies

  • Analytical Thinking: Ability to identify anomalies, question abnormal data, and recommend corrective actions.
  • Problem‑Solving: Resolve issues efficiently, escalating only when necessary.
  • Communication: Clear, concise verbal and written communication in both English and French.
  • Time Management: Prioritize tasks, manage multiple deadlines, and maintain productivity across time zones.
  • Team Collaboration: Foster positive relationships with cross‑functional teams and contribute to a supportive work environment.
  • Adaptability: Thrive in a fast‑changing environment, quickly learning new tools and processes.
