  • Patient Communication: Respond to inbound inquiries across multiple channels—phone, email, and live chat—in both English and Spanish. Provide clear, accurate information about appointments, services, billing, and insurance questions.
  • Appointment Management: Schedule, confirm, reschedule, and follow up on patient appointments. Coordinate with internal teams (clinical, billing, and administrative) to ensure a smooth patient experience.
  • CRM & Documentation: Maintain meticulous patient records in our CRM system. Document every interaction with precision, adhering to quality standards and compliance requirements.
  • Compliance & Confidentiality: Uphold HIPAA regulations and all data privacy policies. Handle sensitive information with the utmost discretion and professionalism.
  • Team Collaboration: Work closely with teammates and leadership to identify opportunities for process improvement and enhance overall patient satisfaction.
  • Continuous Improvement: Participate in ongoing training, onboarding, and skill‑development initiatives. Adapt quickly to new systems, workflows, and process updates.
  • Performance Metrics: Meet or exceed key performance indicators (KPIs) such as response time, resolution rate, CRM accuracy, patient satisfaction scores, and appointment scheduling accuracy.

Essential Qualifications

  • Minimum of 1 year of customer service experience; healthcare experience is highly preferred.
  • Fluent in both English and Spanish—spoken and written.
  • Proficient with CRM platforms and communication tools (e.g., Salesforce, Zendesk, Intercom).
  • Strong computer skills and the ability to multitask across multiple applications.
  • Reliable internet connection and a dedicated, professional remote workspace.
  • Consistent availability during U.S. business hours (9 a.m.–5 p.m. EST).
  • Exceptional attention to detail and documentation accuracy.

Preferred Qualifications

  • Experience in medical billing, insurance verification, or patient support roles.
  • Familiarity with appointment scheduling systems and medical terminology.
  • Knowledge of HIPAA or other healthcare compliance standards.
  • Prior experience supporting U.S.-based healthcare organizations.
  • Comfortable handling high-volume communication across phone, email, and chat.

Skills & Competencies

  • Problem‑Solving: Ability to assess patient concerns quickly and provide effective solutions or appropriate escalations.
  • Organizational Acumen: Strong time‑management skills and the capacity to juggle multiple tasks simultaneously.
  • Adaptability: Quick learner who thrives in a dynamic, remote environment.
