Role Overview
We are seeking a highly motivated, bilingual Virtual Assistant to become an integral part of our Property Management division. In this remote role, you will serve as the first line of communication for tenants and owners, coordinate maintenance and lease activities, and support our property managers with data‑driven insights. Your ability to juggle multiple tasks, communicate effectively in English and Spanish, and maintain meticulous records will be essential to keeping our operations running smoothly.
Why This Position Matters
Property management is the heartbeat of any real‑estate portfolio. From tenant satisfaction to lease compliance, every detail matters. As a Virtual Assistant at brighthush, you’ll be the invisible hand that keeps the gears turning—ensuring that every tenant feels heard, every maintenance request is resolved on time, and every lease document is accurate and up‑to‑date. Your work will directly influence tenant retention, property value, and the overall success of our portfolio.
Key Responsibilities
- Tenant & Owner Communications: Respond promptly to emails, phone calls, and messages on property management platforms. Provide clear, courteous, and professional assistance in both English and Spanish.
- Maintenance Coordination: Log maintenance requests, schedule vendors, and follow up to guarantee timely resolution. Maintain a log of completed work and vendor performance.
- Lease Administration: Draft lease agreements, renewal notices, and addendums. Ensure all lease documents are stored correctly in our property management software.
- Software Management: Enter and update tenant data, rent payments, and maintenance logs in AppFolio (or equivalent). Troubleshoot basic software issues and liaise with IT support when necessary.
- Rent Collection & Accounting: Track rent payments, send reminders for delinquencies, and reconcile accounts. Prepare monthly rent reports for property managers.
- Reporting & Analytics: Compile spreadsheets, dashboards, and summary reports that provide actionable insights to property managers and stakeholders.
- Listing Management: Post and update property listings on rental platforms (e.g., Zillow, Apartments.com, Craigslist) to minimize vacancy rates.
- Administrative Support: Schedule meetings, manage calendars, perform data entry, and handle general office tasks to keep the team organized.
Essential Qualifications
- Minimum of 1–2 years of experience in property management, real‑estate administration, or a related field.
- Proficiency with property management software such as AppFolio, Buildium, or Rent Manager.
