Remote Position

Seasoned Virtual Assistant & Operations Coordinator – Founder Support for brighthush’s Trailblazing Girls’ Football Initiative

🌍 Remote · United States 💼 Full-time

About brighthush

brighthush is more than a sports organization – it’s a movement dedicated to unlocking the potential of young girls through football. With a mission to nurture talent, foster leadership, and create sustainable pathways for girls across South Africa, we are launching our inaugural season with ambition, passion, and a commitment to excellence. Our vision is simple: empower girls to thrive on the pitch and in life, while building a vibrant community of players, coaches, partners, and families who share our values.

As we expand, we’re looking for a highly organized, proactive, and self‑motivated Virtual Assistant to partner directly with our Founder. This role is the backbone of our day‑to‑day operations, ensuring that strategic initiatives run smoothly and that the Founder can focus on partnership development, player growth, and business expansion.

Why This Role Matters

In a fast‑moving startup environment, the right support system can make the difference between a vision and a reality. Your work will directly influence the success of our first season, the quality of our community engagement, and the overall impact we have on girls’ lives. By becoming the invisible force behind our Founder’s schedule, communications, and program logistics, you’ll help shape the future of girls’ football in South Africa.

Key Responsibilities

  • Founder Support – Serve as the primary liaison for the Founder, managing a complex calendar that spans Brisbane and Cape Town time zones. Anticipate needs, schedule meetings, and ensure the Founder’s day is optimized for strategic impact.
  • Inbox & Communication Management – Monitor, triage, and draft responses to the Founder’s inbox. Maintain a high standard of professionalism, ensuring all communications reflect brighthush’s voice and values before approval.
  • Meeting Coordination – Prepare detailed agendas, capture minutes, and track action items. Follow up with stakeholders to guarantee that meetings translate into tangible outcomes.
  • Partnership & Stakeholder Relations – Track correspondence with sponsors, clubs, community partners, and media outlets. Maintain a central repository of partnership agreements, renewal dates, and key deliverables.
  • Program Operations – Oversee logistics for Season One, including match days, training camps, and community events. Coordinate tasks across on‑ground teams, ensuring deadlines are met and resources are allocated efficiently.
  • Data & Documentation – Keep spreadsheets, databases, and internal documentation accurate, up‑to‑date, and easily accessible. Implement best practices for data integrity and version control.
  • Systems & Administration – Perform data entry, research, and general administrative tasks. Support basic social media scheduling and content calendar maintenance (content creation handled by another role).
  • Process Improvement – Identify bottlenecks, propose workflow enhancements, and champion the adoption of new tools that increase productivity and reduce friction.
  • Safeguarding & Confidentiality – Adhere to brighthush’s safeguarding policy, complete background checks, and protect sensitive information about players, families, partners, and sponsors.
  • Brand Representation – Communicate consistently in brighthush’s approved tone. Avoid making commitments or public statements without the Founder’s sign‑off.

Essential Qualifications

  • Proven experience as a Virtual Assistant, Executive Assistant, Personal Assistant, or a similar role in a fast‑paced environment.
  • Exceptional written English skills – capable of drafting professional emails that require no rewriting.
  • Outstanding organizational and time‑management abilities, with a track record of juggling competing priorities.
  • Strong attention to detail and the confidence to work independently with limited supervision.
  • Proficiency in Microsoft 365 or Google Workspace (or equivalent) and a quick learning curve for new systems.
  • A genuine passion for women’s sport, girls’ football, or African sporting communities.

Preferred Qualifications (Nice to Have)

  • Experience supporting a founder or working in an early‑stage organization.
  • Familiarity with CRM or project management tools such as HubSpot, Asana, Trello, or similar platforms.
  • Background in event coordination, partnership management, or community program support.
  • Knowledge of South African culture or experience working across multiple time zones.
