Role Overview
We are seeking a dynamic Senior Customer Onboarding Operations Manager to own the operational engine that transforms new customers into early adopters and revenue generators. This is not a training delivery role; it’s a strategic, data‑driven leadership position focused on ensuring that every practice is fully prepared, capacity is aligned, and the onboarding journey consistently converts into tangible value.
In this role, you will lead a team of Training Coordinators, design scalable processes, and build forecasting discipline that guarantees each customer reaches first value as quickly and reliably as possible. You will collaborate cross‑functionally with Product, Sales, Customer Success, and Engineering to eliminate bottlenecks, drive throughput, and create a predictable, scalable activation engine.
Key Responsibilities
- Own Onboarding Readiness
- Develop and operationalize a readiness model that defines when an account is truly prepared for training.
- Ensure customers complete critical onboarding milestones—equipment setup, scheduling, workflow alignment, and expectation management—before training begins.
- Create dashboards that surface readiness gaps and drive proactive resolution to prevent go‑live delays.
- Partner with cross‑functional teams to eliminate friction between onboarding stages.
- Drive Capacity & Throughput
- Forecast training demand and align staffing and scheduling resources to meet activation goals.
- Manage scheduling systems to guarantee the right training sessions occur at the right time.
- Translate data into actionable operational decisions—staffing, sequencing, readiness timing, and resource allocation.
- Coordinate complex onboarding logistics for enterprise customers, including multi‑location rollouts that require synchronized scheduling and consistent execution across practices.
- Lead the Coordinator Function
- Recruit, coach, and develop a high‑performing team of Training Coordinators and Leads.
- Define clear ownership of readiness, scheduling, and workflow responsibilities.
- Establish performance metrics tied to outcomes, not just logistics.
- Build coaching systems that enhance decision‑making, prioritization, and continuous improvement.
- Build Systems & Playbooks
- Create scalable processes that connect onboarding → readiness → training → activation.
- Standardize workflows to reduce variability in customer experience.
- Develop repeatable playbooks for large‑scale, multi‑location onboarding to ensure coordinated execution and predictable activation across enterprise groups.
Essential Qualifications
- 5+ years of operational experience in a fast‑growing, scaling environment.
- Proven track record of leading coordination‑heavy or logistics‑driven teams.
- Strong ability to build systems, playbooks, and scalable processes that drive measurable outcomes.
- Experience owning capacity planning and throughput challenges in a high‑volume setting.
- Demonstrated success coordinating complex, multi‑stakeholder projects.
- Data‑oriented mindset: comfortable defining performance metrics, prioritizing work, and using analytics to improve outcomes.
- Excellent cross‑functional collaboration skills, with a talent for creating clarity across teams.
- Builder mentality with energy for structuring ambiguity and turning it into actionable plans.
Preferred Qualifications
- Experience in SaaS or technology companies serving professional services or healthcare.
- Background in operations or program management within a B2B SaaS environment.
- Familiarity with customer success metrics such as NPS, CSAT, and activation rates.
- Knowledge of project management tools (e.g., Asana, Jira, Monday.com) and data visualization platforms (e.g., Tableau, Looker).
- Strong communication skills in both written and verbal English; additional languages are a plus.
Skills & Competencies
- Strategic thinking and execution focus.
- Analytical mindset with proficiency in Excel, SQL, or data‑analysis tools.
- Leadership and people‑management skills, including coaching and performance management.
- Process design, continuous improvement, and change management.
- Stakeholder management and cross‑functional alignment.
- Adaptability and resilience in a fast‑moving environment.
- Customer‑centric mindset and passion for delivering exceptional experiences.
