Your primary responsibility will be to maintain, update, and enrich our comprehensive database with precision and speed. This role is essential for ensuring that agents, clients, and stakeholders have access to reliable, up‑to‑date information that drives informed decisions and exceptional service.

We are looking for a self‑motivated, detail‑oriented individual who can work independently in a remote setting while collaborating seamlessly with a distributed team. If you thrive in a fast‑paced environment, love data, and are passionate about real‑estate, this is the perfect opportunity for you.

Key Responsibilities

  • Accurately enter, update, and verify real‑estate transactions, client details, property listings, and related data in the central database.
  • Conduct thorough data audits to identify inconsistencies, duplicates, or missing information, and implement corrective actions.
  • Collaborate with agents, marketing teams, and administrative staff to resolve data discrepancies and ensure data integrity across all platforms.
  • Adhere to strict privacy and data‑security protocols, safeguarding sensitive client information in compliance with state and federal regulations.
  • Create and maintain detailed reports, dashboards, and presentations that provide actionable insights for sales, marketing, and executive leadership.
  • Perform general office support tasks such as filing, scanning, printing, and managing office supplies to support the remote team’s operational needs.
  • Continuously refine data entry processes, suggest automation opportunities, and contribute to the development of best practices.

Essential Qualifications

  • High school diploma or equivalent; a bachelor’s degree is a plus but not required.
  • Proven experience in data entry, database management, or a related administrative role.
  • Strong familiarity with real‑estate terminology, transaction workflows, and industry software.
  • Advanced proficiency in Microsoft Office (Excel, Word, Outlook) and data input tools (e.g., CRM systems, proprietary databases).
  • Exceptional attention to detail and a commitment to data accuracy.
  • Ability to work autonomously with minimal supervision while maintaining high productivity.
  • Excellent organizational and time‑management skills, capable of juggling multiple priorities.
  • Strong written and verbal communication skills, especially in a remote collaboration context.

Preferred Qualifications

  • Experience with real‑estate platforms such as MLS, Zillow, or proprietary listing services.
  • Knowledge of data‑security standards (e.g., GDPR, CCPA) and best practices for protecting client information.
  • Familiarity with data visualization tools (Power BI, Tableau) or advanced Excel functions.
  • Previous remote work experience with a distributed team.
  • Demonstrated ability to identify process inefficiencies and propose effective solutions.

Skills & Competencies

  • Technical Proficiency: Advanced Excel, CRM systems, data validation tools.
  • Analytical Thinking: Ability to interpret data, spot trends, and recommend actionable insights.
  • Communication: Clear, concise, and professional communication across multiple channels.
  • Adaptability: Comfortable with evolving tools, processes, and real‑estate market dynamics.
  • Team Collaboration: Proven track record of working effectively with cross‑functional teams.
  • Integrity: Upholds confidentiality and ethical standards in handling sensitive data.
